Earned vacation entitlement cannot be carried over from one vacation year to
another, except with the approval of your Manager / Supervisor. In such cases, vacation
will not be carried forward beyond March 31 of the following year.
VACATION TIME PRINCIPLE – “UNPLUGGED”
JPLI Is committed to enabling team members to use their vacation time without disruption
from work. Our principle is simple: Vacation time is personal time. Period.
While on vacation, team members are required to follow the following procedure:
1. PREP YOUR BACK‐UP: Work with your manager well in advance of your holidays to
determine who your back‐up will be. Prior to your departure, review current tasks,
deadlines, issues, what to expect during your absence and any other key
information with your back‐up.
2. FORWARD YOUR EMAIL: Send a request to IT Support to forward your email to
your back‐up. Advise them of your desired start and end time. Once set up, a copy
of your email will be forwarded to your back‐up, and retained in your inbox.
3. OUT OF OFFICE REPLY: Turn on your internal and external Out of Office reply. A
template is provided on SharePoint and below:
External:
I am currently out of the office on holidays, without access to email. In order to ensure that
your message is addressed promptly, it has been forwarded to my colleague Insert Back‐up
Name. First Name will make sure that any time sensitive issues are addressed. I will reply
to all other enquiries upon my return, on Insert return date.
If you require immediate attention, you can also contact Back‐up Name directly @ insert
email or insert direct phone number.
