              7  BACKING UP FILES
              You are strongly advised to copy recorded audio files to a secure computer after each
              session. And to delete them from the device--- reasons. Table of renames---


              8  PREPARING TRANSCRIPTS
              Files that may be needed for legal or other important purposes should be carefully        Page | 12
              transcribed and securely retained. Transcripts should show the:
                  •  UNIQUE FILE IDENTIFIER and any changed name;

                  •  date and duration of the recording;

                  •  names of the person who made the recording;
                  •  names and job titles of the people recorded

              Transcription is a difficult and onerous task, which is almost impossible to complete directly
              from the device.

                      A professional and independently produced transcription should be provided for every
                      recording that is required in court.

                      The witness producing the recording should not prepare the transcription, although he or she
                      should check it carefully: word for word.

                      The recording’s chain of custody (“continuity”) – from its creation to its production in court –
                      should be available
              It is always worth testing to see whether a recording is clear enough to be transcribed by
              Dragon Naturally Speaking.

              9  TO DELETE A RECORDED FILE
              We strongly advise deleting files from the device only when it is connected to a computer
              using File Explorer or an equivalent program.

                      Deleting directly from the device (“direct deletion) is error prone and unreliable;

              However, there may be circumstances when direct deletion is necessary. The process in the
              PLAY mode is as follows:
                  •  Scroll through the recorded files using the A(+) button to locate the UNIQUE FILE
                      IDENTIFIER you want to delete. Stop playback by pressing the A(+) and B(-) buttons
                      simultaneously;

                  •  Press the A(+) and B(-) buttons again, simultaneously, to access the SETTINGS MAIN
                      MENU;

                  •  Use the A(+) button to scroll to option 8. The DISPLAY should scroll from right to
                      left to show UNIQUE FILE IDENTIFIER previously selected;

                  •  Press the A(+) button followed immediately by the B(-) button
                  •  The file will be deleted.

                      The option to delete all files is extremely dangerous and should not be used
