Composition of Student Development and Services Department
▪ Registrar (College Department)
The College Registrar is working closely with the Director of Student Development and Services
that will facilitate an effective and efficient student enrolment process at the College.
Duties and Responsibilities
1) Pre-evaluation of transcripts for prospective students.
2) Evaluation of transfer credits for applicants.
3) Submissions processing for incoming and returning students and scheduling of classes.
4) Enforcing government and school regulations on entrance requirements, enrolment, load,
transfer, promotions, subject sequence, graduation, suspension or dismissal of students and
other disciplinary measures.
5) Consolidates and submits the schedule of classes for each term prepared by the Deans and
Program Heads.
6) Determines course requirements, transfers, graduation and other matters pertaining to student
accounting.
7) Collection, maintenance, and reporting of academic data.
8) Attends to the prompt compliance with requests for student records, student confirmation and
information.
9) Issues official certificates, academic grades, student records and releases transfer certificates
and credentials, clearances and diplomas.
10) Collection, analyzing and reporting of data required by administration, government agencies,
and accreditation reports.
11) Assists with training, scheduling and delegating work to the student assistant.
12) Provide supervision for the student assistant in the Registrar’s Office.
13) Responsible for all aspects of the administration and communication processes relating to
student enrolments.
14) In collaboration with Director of Student Development and Services assist in the annual
enrolment plan and budget.
15) Maintain primary responsibility for overall integrity, accuracy and consistency of data in the in
the College database.
16) Ensure master data tracking spreadsheet developed and reported.
17) Provide a detailed and comprehensive analysis of student movement data, including reasons
for withdrawals, factors affecting enrolments, trend and projections.
18) Assume responsibility for all aspects of tours of the College.
19) The Registrar will be expected to carry out other duties from time to time that are broadly
consistent with this position description and as required by the Director of Student
Development and Services.
▪ Registrar (Basic Education Department)
Responsible for maintaining student records at the campus level. Process student enrollment,
transfers, and withdrawals for the campus. In-charge of all the information system implemented by the
Department of Education and other related function.
