Duties and Responsibilities
1) Develop and maintain an accurate and comprehensive database of all applicants, rolling over
each year changing status as they progress.
2) Maintain physical and computerized records including student cumulative folders, progress and
failure reports, class rosters, schedule changes, and grade books.
3) Process new student records, including requesting transcripts and records from other schools,
setting up cumulative folder, and entering student data into appropriate databases.
4) Updates the Learners Information System (LIS) and Enhanced Basic Education Information
System (EBEIS) and other Information System that requires Online Transactions.
5) Coordinate grading process, including processing of scan sheets, verification and correction of
grades, and printing and distribution of report cards.
6) Process and transmit requests for student information, including student transcripts for
colleges and universities.
7) Assist with the enrollment, withdrawals, and transfer of students and process applicable
records.
8) Assist Director of Student Development and Services with the preparation of reports and
student data information.
9) Coordinate the ordering and distribution of all graduate materials, including caps and gowns
and diplomas.
10) Maintain confidentiality of information.
11) Other duties as assigned.
▪ Admission Officer / Registrar Personnel
Under the general direction of designated supervisor, performs duties related to the
admission of students and pupils to Immaculada Concepcion College, in accordance with School
and Department policies. Incumbents may specialize in freshman or transfer admission or may work
in both areas concurrently.
Duties and Responsibilities
1. Evaluates and processes admissions applications in accordance with School policies, goals and
rules on admissibility of pupils/students;
2. Advises applicants regarding admissions requirements, eligibility for admission, program
options, residency requirements and other matters related to their admission to the school;
3. Assists students and parents on admissions policies and procedures of the school;
4. Keeps informed regarding academic program requirements, enrolment restrictions and other
issues related to recruiting and admitting students;
5. Assists in developing informational and/or promotional materials;
6. Conducts informational meeting and programs to explain admission requirements policies and
procedures;
7. Assists in maintaining and updating admission records and files and compiles admissions
reports as directed;
8. Participates in summer orientation and registration program for newly admitted students;
9. Works with and advises staff at other educational institutions regarding their programs,
requirements and transferability of their students to ICC;
10. May assist with evaluating courses offered by other schools to determine their equivalency to
courses offered in the College;
