A. The nominating chair serves to coordinate the election process.
The nomination committee assists with oversight of the nominating
process. The eligibility and terms of each office is read aloud at the November
Mother's business meeting by the Nominating Chair. At the January mothers
meeting, the Nominating Chair reads the regular duties of each position aloud to
the members. Nomination forms are distributed to the Members with a due date of
February 1st. Candidate profiles are created and presented to the mothers at the
March Mothers meeting, In April, nominations from the floor will be accepted. All
candidates are voted on at the April mothers’ business meeting.
Section 4. Vacancies
A. Any vacancy in an office occurring during the year shall be filled by appointment
by the President of an eligible member, with a 2/3 majority vote of the membership.
Section 5. Duties of Officers
A. The regular term of office shall begin at the conclusion of the program year on June

1 after the installation of new members. Officers shall be installed no later than
st
May 31 of each election year.
B. All officers retiring shall deliver to the newly elected officers all materials, record
books and other articles belonging to the Chapter by August.
1. The President shall preside at each meeting of the Chapter, approve all
Chapter correspondence and serve as ex-officio member of all committees;
except the Nominating Committee. She shall have the power to appoint
standing committees and such committees as may be necessary to enforce
the Constitution and Bylaws. She shall define the program thrust of the
organization.
She shall serve as spokesperson and interpreter of the work and philosophy
of the organization and the community.
2. The Vice President, in the absence of the President shall be vested with the
power to perform the duties of the President. She shall serve as the
Chairman of the Membership Committee.
3. The Recording Secretary shall keep an accurate record of the proceedings
of the meetings and include it in the monthly newsletter and shall preserve
all books and records pertaining to other offices.
4. The Corresponding Secretary shall handle all correspondence as may be
required and notify members of meeting dates and any other official notes.
5. The Financial Secretary shall collect all monies, record same and transfer
to the Treasurer all monies collected. She shall maintain a record of all
monies received and prepare vouchers for expenditures. She shall maintain
a record of the financial standing of each member. She will notify by
certified mail, return receipt
requested, members whose accounts are delinquent after September 30
and warn expulsion procedures will be activated by November 15 th.
6. The Treasurer shall be custodian of the funds and keep accurate
records of all monies received and disbursed, and submit monthly written
reports for ALL accounts at the Mother’s monthly meetings. Printed
