financial statements shall be submitted to the members at the close of each
fiscal year.
a. The Treasurer shall be responsible for informing members
that a vote is required of the Membership when a line item
on the budget must change.
b. The Treasurer shall be responsible for requesting three (3)
different bids from auditors when obtaining an auditor.
c. The Treasurer is responsible for requesting proposed
budgets from each committee chair two (2) months prior to
the presentation of the budget to the chapter.
7. The Program Director shall coordinate the planning and execution of the
children’s activities for the Chapter and is required to submit the Chapter
Program Handbook to the National Director by November 1. (Your chapter
program handbook is a multifaceted program that will provide a
constructive cultural, educational and/or community service experience for
children). The age group divisions are classified as follows: Cherubs-3
years old to Kindergarten, Bits and Bows-First to Third grade, Lads and
Lassies-Fourth to Fifth grade, Twixteens-Sixth to Seventh grade,
Junior Teens-Eighth to Ninth grade, Senior Teens-Tenth to twelfth grade.
8. The Editor shall edit, publish and distribute news to the media. She shall
be responsible for submitting news to official Jack and Jill publications –
UP THE HILL by the National set deadline.
9. The Parliamentarian shall be the resource person for proper parliamentary
procedures. She shall maintain proper decorum at the meetings. She will
Chair the Constitution and Bylaws Committee.
a. It shall be the duty of the Parliamentarian to:
1. Interpret procedure according to the organization’s
governing document and Robert’s Rules of Order.
2. Advise the presiding officer on orderly conduct in
meetings.
3. Other duties as assigned.
b. It shall be the duty of the Sergeant-at-Arms to:
1. Ensure orderly conduct of meetings.
2. Supervise the door, not allowing any member to
leave or enter the room when business is being
conducted and while a vote is in session.
10. The Historian shall maintain all trophies and awards to the local Chapter,
publications, including but not limited to UP THE HILL, Beau Booklet for
each year, pictorial documents and any other publications required by the
Constitution. She shall update the history of the local Jack and Jill Chapter
every two (2) years.
C. Officers shall serve as members of the Executive Committee. The Committee shall
consist of the following: the President, Vice President, Recording Secretary,
Financial Secretary, Corresponding Secretary, Treasurer, Program Director, Editor,
Historian and Parliamentarian.
