RCTMT 10th. SPECIAL BOD MEETING.

ATTENDANCE :- Total 15 including Club Pr. & Club Sec.

MINUTES OF MEETING:-

Agenda:- 1) Discussion & declaration of Elections regarding RCTMT Charitable TRUST
2) Discussions on selection /election Process of Trustees for next 5 Years

3) Discussions on appointment of Election Officer if required in case of decision of election if any.

• President Rajendra Zende ji welcomed all the BOD members for this special BOD for Declaration &
Discussion on the Process of Selection / Election of RCTMT Charitable Trust for the next 5 years.

• Pr. Zendeji drew attention of all to the clause 8 And Sub Clause 8.1 , 8.3 & 8.4 of the trust deed. He
Informed all that The present Board of trustees were elected in 2015 & the Tenure of the existing Trustees of
RCTMT Charity Trust expires on 30th of June 2020 & hence in this meeting we start the process of Selection /

election of the New trustees for the next tenure from 01 July 2020.
• President informed all that We shall send the Trustee ship Nomination / Consent form to all the Past
presidents who have completed continuous period of 10 years in the club, he then proposed the formation of
a scrutiny committee to scrutinize the applications received and that and appointment of one election officer.
However the president shall have the powers to finalize the same. This proposal was acceptable to all the BOD
members and accepted.

President Zendeji then invited each BOD Member to speak out and give their individual opinion on the subject.
• To start with PP Rtn. Arvind Datar placed his views and instructed suggested president to ask all the
eligible past presidents who so ever are interested to contest and gave his consent to call for elections. To this
PP Rtn Satish ji informed all that as per the trust deed we can have a maximum up to 7 Trustees and insisted
that we should go for 7 Trustees in place of just 5 trustees on the BOT.

• PP. Rtn. Milind Ballal brought to the notice of all that even now we have 7 members governing the
Trust every year i.e 5 permanent Trustees on the BOT and additional 2 members are that current year
president and the secretary totalling 7.

Secondly since the trust is not very big and not much of funds to manage hence having more no. of Trustees
could be a hindrance & was of the opinion that we should continue with the present format of only 5 members
on the BOT and all the past presidents should get a chance to be on the BOT.

He further mentioned that we can have the scrutiny committee consisting of Senior Rotarians like Rtn. Harish
Agarwal, Rtn. Sunil Chinchwadkar & Rtn. Milind Vaidya and one among these three can be appointed the
Election Officer. Rtn. Harish Agarwal agreed to the suggestions of PP Rtn. Milind Ballal. To this PP Satish
brought to the notice of all that as per Trust Deed President & VP-PE and not the secretary are the Ex-officio
